Review and free up email storage
Identify large folders before deciding which messages to archive or delete.
Where Tools → Email → Email Disk Usage
Before you start
- Archive anything you need to retain. Deletion may be irreversible.
- Mailbox quota and total hosting disk allowance are different limits.
Steps
-
1
Open Email Disk Usage and select the mailbox if a selector appears.
-
2
Check Sent, Junk and Trash as well as Inbox. Attachments in sent mail can consume substantial space.
-
3
For a populated folder, inspect its management action and age/size criteria. Do not confirm deletion until both folder and criteria are correct.
-
4
For selective cleanup, use Webmail instead. Emptying Trash also removes the normal recovery route.
-
5
Return to Email Accounts and compare Used with Allocated. Increase quota only if adequate hosting space exists.
-
6
Review the folder names, message counts and Disk Usage. Use Search to locate a folder.
Compare storage by folder.
Check it worked
- Refresh after processing; totals may take time to change.
- Send a test message to confirm incoming delivery works.
